Privacy Policy

This policy explains what personal information KnightWorks Consulting, Inc. ("KnightWorks", "we") collects through FacilityRounds: the website facilityrounds.com, the app at app.facilityrounds.com and organization subdomains, and the live demo at demo.facilityrounds.com. It also explains how we use that information and the choices you have.

Two roles. For the records an organization keeps in its FacilityRounds workspace, we act on behalf of that organization, and its own policies also apply; questions about those records are best sent to the organization first. For our website, sales conversations, accounts and billing, we decide how information is used, and this policy covers it.

1. What we collect

Account information. Your name, initials, work email address and role in your organization's workspace, and who invited you and when.

Workspace content. What your organization records: buildings and locations, checklists, inspection results, readings, comments, photos, documents, equipment records, and the email addresses chosen to receive reminder emails. Every change is recorded in an audit log with the person's name or email, what changed and when.

FacilityRounds is not designed for health information. Don't enter patient, resident or client health information, or names or photos of people. We don't sign HIPAA Business Associate Agreements.

Billing information. Payments are handled by Stripe. We keep your plan, billing email, and Stripe's customer and subscription IDs. We never see or store full card numbers.

Demo and sign-up forms. When you try the live demo we record your email address, when you visited and how many times. When you sign up we record your name, email address, organization name and the plan you were interested in. For both, we keep a salted one-way hash of your IP address (not the address itself) to limit how often the forms can be used; it can't be turned back into your IP address.

Website analytics. facilityrounds.com uses Umami, analytics software we host on our own server. It records page views, the page you came from, campaign tags in links (such as utm_source), browser and device type, and country. It uses no cookies, doesn't follow you to other sites, and isn't used to identify you. No analytics or advertising company receives this data.

Messages and logs. Emails you send to sales@ or support@, and the routine technical logs our hosting providers keep to run and secure the service (such as IP address, browser type and the time of a request).

2. How we use it

• To provide FacilityRounds: sign-in, your workspace, exports and reports.
• To send service email: invitations, sign-in and password-reset links, sign-up confirmations, daily reminder emails that your administrators turn on, and account notices.
• To bill you through Stripe.
• To give support. Our staff may open your workspace to answer a support request or fix a problem, in a time-limited support session, and only look at what's needed.
• To keep FacilityRounds secure, prevent abuse (for example, limits on the demo and sign-up forms) and meet legal obligations.
• To follow up on demo and sign-up requests. Our sales team (sales@facilityrounds.com) is told when you try the demo or sign up, and may email you about FacilityRounds. Reply to say you'd rather not hear from us and we'll stop.
• To understand which pages and campaigns bring visitors, from the website analytics above.

We don't sell personal information, and we don't share it for advertising.

3. Cookies and browser storage

• Sign-in cookies keep you signed in to the app. They're necessary for the app to work.
• A support cookie is set only when our staff open a workspace for support. It expires after an hour.
• The live demo remembers your place in its guided tour in your browser's local storage.
• The website sets no cookies; its analytics are cookie-free.

We don't use advertising or cross-site tracking cookies.

4. Who processes it for us

We use these service providers to run FacilityRounds. They process information only to provide their service to us:

We may also disclose information if the law requires it, to protect the rights and safety of customers or KnightWorks, or to a successor if the business is sold or merged (that successor would be bound by this policy).

5. Where it's stored

In the United States. If you use FacilityRounds from elsewhere, your information is transferred to and processed in the United States.

6. How we protect it

• Data is encrypted in transit, and our database and file-storage provider encrypts it at rest.
• Each organization's data is kept separate by rules enforced in the database itself, so one organization can't see another's.
• Completed inspections lock, and changes are recorded in an audit log.
• Passwords must meet a minimum length and are checked against lists of known leaked passwords.

No system is perfectly secure. If a breach affects your personal information, we'll notify you as the law requires.

7. How long we keep it

• Accounts and workspace content: for as long as the organization's account exists. If a paid plan is cancelled, the workspace moves to the Free plan and its records stay readable.
• Deletion on request: if an organization asks in writing (support@facilityrounds.com), we delete its data within 30 days. Copies in routine backups expire on their normal schedule.
• Audit log: for as long as the workspace exists, so the record of changes stays complete.
• Demo-lead and sign-up records: deleted after 24 months.
• The live demo: reset every night; anything entered there is deleted.
• Emails with our team: as long as needed to help you and keep business records.

8. Your choices and rights

• Access, correct, export or delete. Your organization's administrators can correct your name in the app and export the organization's records. To get a copy of your personal information or have it corrected or deleted, email support@facilityrounds.com. We'll answer within 30 days.
• Records in your organization's workspace are controlled by your organization. We'll pass such requests to it, or act on its instructions.
• Marketing email: reply to any sales email to opt out.
• Depending on where you live, you may have other rights under local privacy laws. We'll honor them as those laws require.

9. Children

FacilityRounds is for organizations and isn't directed to children. Don't enter children's personal information. This includes child care and school customers: record buildings and equipment, not children.

10. Changes to this policy

We'll post any changes on this page with a new effective date, and email account administrators about material changes before they take effect.
